Application / Issue of library card for graduate

* Graduates can enter the stack rooms of the Main Library (Trial). *Application is required.
 Please refer to the Kyoto University Library Network News and come to apply during the reception hours.
    Trial period: June 1st, 2022 - March 31th, 2023
    Trial service: Graduates who have applied for this service can enter the B1, B2 and B3 floor of the Main Library and read the stack items.
            *Only for the stack rooms of the Main Library.

How to apply

■New/Replacement
 We accept applications online. Please complete the application form here.
 *The card will be issued after February 8, 2023 because of the examination period (from January 11 to February 7).

* Those who have graduated/ completed the Faculty of Letters/ Graduate School of Letters should apply to the Letters Library.

■Renewal
 We accept applications at information counter of the Main Library on the 1st floor from 9:00 to 16:45 on weekdays.
 You can renew before or after the expiration date.
 Necessary documents are as below:  


■Application for Entering the Stack Rooms of the Main Library(Trial)
 Graduates who have applied for this service can enter the B1, B2 and B3 floor of the Main Library and read the stack items.
 We accept applications at information counter of the Main Library on the 1st floor from 9:00 to 16:45 on weekdays.
 Please refer to the Kyoto University Library Network News, fill in "The Application Form to Library Card for Kyoto University Graduate" and submit it during the reception hours.  
 Please bring your Library Card for graduates.

How to receive your card

  • You can receive your card in about one week after you apply.
    *Please note that it may take longer during Golden Week, summer holidays, year-end and New Year holidays.
    *When who is expected to graduate on March 31 applies during March, the card will be issued after 2nd week of April.
  • Delivery time: weekdays 10:00-16:00
    *If the library is closed on a weekday, you will not be able to receive your card.
    Please check our opening schedule in advance.
  • Necessary documents
    1. You need to submit either the original of your graduation certificate OR a copy of your diploma.
      *Please note that we will not return the document to you.
      *In case of replacement, you do not need to submit the document.
    2. An identity on which your current address is printed (such as driver’s license, health insurance card, etc.)
  • If you have any overdue books, you will not be able to receive your card.
    *If you have overdue books, please return them as soon as possible, not only the books belong to the main library but also to other libraries.

Notes

  • Graduates cannot borrow the materials in the libraries.
  • The library card must be handed to the user in person. The card will not be sent by post or sent to a proxy.
  • The card is valid for five years from the date of application and must be renewed every five years.
    (When you update, you do not need any proof of graduation.)
  • The card cannot be issued to the following persons.
    • Students who are still enrolled at Kyoto University
    • Students who are continuing their studies at Kyoto University, or are enrolled as non-degree students, auditors, faculty members, etc.
    • Students who have been enrolled as non-degree students (non-degree students, auditing students, research students, etc.)
    • Students who have withdrawn from the University
      *This certificate can be issued to students who have withdrawn from a master's course or doctoral course with research guidance approval.
