Application / Issue of library card for graduate

*From August 20, 2021 to September 30, 2021, Kyoto Prefecture was added to the target area of the state of emergency.
 Due to this, the receipt of library cards for graduates was suspended for the time being, but it will resume from October 1, 2021.
 We will contact you in order from the person who is ready to receive it.

How to apply

    • New/Replacement: We accept applications online. Please complete the application form here.
    • Renewal: We accept applications at information counter of the Main Library on the 1st floor from 9:00 to 16:45 on weekdays.
      Necessary documents as below:
      • the application form to Library Card for Kyoto University Graduate (PDF , MS Word ) *Sample (PDF)
      • An identity on which your current address is printed (such as driver’s license, health insurance card, etc.)
   

How to receive your card

  • You can receive your card in about one week after you apply.
    *Please note that it may take longer during Golden Week, summer holidays, year-end and New Year holidays.
    *When who is expected to graduate on March 31 applies during March, the card will be issued after 2nd week of April.
  • Delivery time: weekdays 10:00-16:00
    *If the library is closed on a weekday, you will not be able to receive your card. Please check our opening schedule in advance.
  • Necessary documents
    1. You need to submit either of the original of your graduation certificate OR copy of your diploma.
      *Please note that we will not return the document to you.
      *In case of replacement, you do not need to submit the document.
    2. An identity on which your current address is printed (such as driver’s license, health insurance card, etc.)
  • If you have any overdue books, you will not be able to receive your card.
    *If you have overdue books, please return them as soon as possible, not only the books belong to the main library but also to other libraries.

Notes

  • Graduates cannot borrow the materials in the libraries.
  • The library card must be handed to the user in person. The card will not be sent by post or sent to a proxy.
  • The card is valid for five years from the date of application and must be renewed every five years. (When you update, you do not need any proof of graduation.)
  • The card cannot be issued to the following persons.
    • Students who are still enrolled at Kyoto University
    • Students who are continuing their studies at Kyoto University, or are enrolled as non-degree students, auditors, faculty members, etc.
    • Students who have been enrolled as non-degree students (non-degree students, auditing students, research students, etc.)
    • Undergraduate students who have withdrawn from the University *This certificate can be issued to students who have withdrawn from a master's course or doctoral course.
