This page explains how to publish research data (evidence data for articles) on KURENAI.

Eligibility

As stipulated in Section 3 of the "Kyoto University Academic Repository Operation Guidelines," in principle, anyone involved in the creation of research and educational works while affiliated with Kyoto University (including former affiliates) is eligible to register their work, including students. However, this is limited to research and educational works created during their affiliation with Kyoto University.

Conduct pre-publication check

Confirm Data Public Availability

Please check if there are any problems with the release of your research data and the data on which your paper is based, using the “Flowchart for Pre-publication Check of Research Data (pdf)”. In particular, please pay close attention to the protection of personal information.

Regarding the Files to Register

  • ZIP files and other formats that compress multiple files together may also be deposited.
  • Multiple files may be deposited as one content (i.e., a unit by which metadata is assigned; each content is assigned its own URL). There is no limit to the number of files that can be deposited.
  • If you wish to add a DOI, please consider the granularity of your deposit (the scope of what is considered a single content), keeping in mind that one DOI can be assigned to each content of data.
  • We recommend that you prepare a “README file” that describes the contents and structure of the data file.
  • There are cases where registration may not be possible if the data size is too large. If the total exceeds 5GB, please consult with the contact person before applying.

Application Procedure

  • You can apply for publication through the "KURENAI Deposit System" (SPS-ID required).

  • If you do not have an SPS-ID, or if you encounter issues with the procedures in the "KURENAI Deposit System", please refer to "Registration when unable to use the KURENAI Deposit System" below.

Registration when unable to use the KURENAI Deposit System

  • If you don't have an SPS-ID or are having trouble with the "KURENAI Deposit System" procedures, please prepare a complete set of research data application documents and send them via email or other means to the "Recipient / Contact Information" listed below.

Supplementary Information

  • Only research data (data on which papers are based) that can be fully disclosed to anyone free of charge can be registered with KURENAI. It is not possible to set passwords to limit the use of the data to a limited number of users, or to charge a fee for the use of the data.
  • If you wish to share your research data among researchers without disclosing it to the public, you may use the RDM Drive at the Data Operation Support Infrastructure Center of the Organization for Information Environment.
  • You can also delay the publication for a certain period (by specifying a publication date), with the understanding that it will eventually be made public.
  • You can also share data exclusively with reviewers before KURENAI publication (for more details, please see "When You Want to Share Only with Reviewers Before KURENAI Publication" below).
  • You can be assigned a DOI (Digital Object Identifier). If you'd like a DOI for your data, we'll assign a DataCite DOI (a DOI by DataCite, an international DOI registration agency specializing in research data).
  • It takes about one week after publication in KURENAI for the DOI to become active (i.e., for the link to resolve).
  • It also makes your research data searchable on CiNii Research (National Institute of Informatics), a platform compiling research achievements in Japan, as well as on OpenAIRE, an internationally used platform, enabling both domestic and international access to your research achievements.

When You Want to Share Only with Reviewers Before KURENAI Publication

  • If you want to share the data supporting your submitted or soon-to-be-submitted paper only with reviewers before its public release in KURENAI, you can provisionally register it and then issue a temporary secret URL for review purposes.
  • Please note that the secret URL is only a temporary feature that is subject to KURENAI publication. As soon as the peer review process is completed (i.e., as soon as the paper is accepted for publication), please submit your paper for KURENAI registration and publication.
  • DOIs are not valid while using the Secret URL function. DOIs can only be assigned to content that is made public.
